Privacy Policy

1. Who This Policy Covers

This Privacy Policy explains how Knowledge World Education ("KW Education," "we," "us," "our") collects, uses, and protects personal information through knowledgeworld.ca (the "Site"). It applies to visitors, parents/guardians submitting information on behalf of a child, and registered account holders.

2. Information We Collect

When you submit a consultation request or the subject-matching quiz, we collect: your name, email address, and phone number; your child's grade (or your own grade/level, if you're an adult learner — e.g., IELTS preparation); what you're looking for help with; your postal code, used only to determine whether in-person/hybrid tutoring is available in your area (Waterloo Region); your preferred contact method; and which tutoring format you'd like (in-person, online, or hybrid), where applicable to the form used.

We also keep an internal record of whether a submission came from the quiz, since that's the only flow eligible for the quiz's introductory discount. That's not information you provide — it's something our system records about which form you used.

When you create an account, we collect: your first and last name, a chosen username, and email address; a password, which is stored using one-way hashing — we cannot see or recover your actual password; your grade, if you're registering as a student; and a short bio, if applicable (e.g., for tutor accounts).

When you're logged in, we use a browser cookie to keep you signed in between visits. This cookie is used only to maintain your login session — we do not currently use analytics, advertising, or tracking cookies on this Site.

3. Information About Minors

Our tutoring services are primarily for K-12 students, so much of the information above is submitted by a parent or legal guardian on behalf of their child, not by the child directly. By submitting a form on this Site on behalf of a minor, you confirm you are that child's parent or legal guardian and have the authority to share their information with us for the purpose of arranging tutoring services. We do not knowingly collect personal information directly from a child without a parent or guardian's involvement in the submission.

4. How We Use Your Information

We use the information collected to: respond to consultation requests and match students with an appropriate tutor and format; determine service-area eligibility via postal code; confirm eligibility for promotional offers tied to how you reached us; create and manage your account, if you register one; and contact you about your request or account.

We do not sell your personal information, and we do not use it for third-party advertising.

5. Who We Share Information With

Our staff, to follow up on consultation requests and manage bookings.

Postmark, our email delivery provider, which we use to send internal staff notifications when a new consultation request comes in. Postmark processes the relevant contact details solely to deliver that email — see Postmark's own privacy policy for how they handle data as our processor.

Law enforcement or other parties, only where we're required to by a valid legal process (such as a court order), or to protect the rights, property, or safety of KW Education, our students, or others.

A successor business, if KW Education is ever involved in a merger, acquisition, or sale of assets — your information may be transferred as part of that transaction, and this Privacy Policy would continue to apply unless you're notified of a change.

We do not sell your personal information, and we do not share it with any other third party for their own advertising or marketing purposes.

6. Data Storage and Security

Where your information is stored electronically (for example, in an account or a consultation record), passwords are never stored in plain text — they are hashed, a one-way scrambling process that means even we can't see your actual password. Your login session is kept in a cookie that's set up so it can't be read or stolen by a malicious script running on a webpage — only your browser and our server can use it.

No online system is perfectly secure, and we can't guarantee absolute security, but we take reasonable steps to protect the information you share with us.

7. Where Your Information Is Processed

This Site's frontend is hosted on Cloudflare's global network. Submitting a form currently triggers a staff notification email through Postmark, our email provider, which processes that email content in the United States — some of your information may therefore be processed outside Canada, where it could be subject to that country's laws.

Our backend application and database are being finalized as part of ongoing infrastructure work. We will update this section with the specific hosting location once that's live. In the meantime, no personal information submitted through this Site is stored in a separate company database beyond the staff notification email described above.

8. Data Retention

We retain personal information only for as long as reasonably necessary to fulfill the purposes described in this Policy — generally, for the duration of an active tutoring relationship, or for a reasonable period following a consultation request that does not lead to enrollment, after which it may be deleted or anonymized. If you would like your information deleted sooner, contact us using the details in Section 13 and we will action your request, subject to any legal or contractual retention obligations.

9. Your Rights

Under Canada's Personal Information Protection and Electronic Documents Act (PIPEDA), you have the right to: ask what personal information we hold about you (or your child); request corrections to inaccurate information; withdraw consent for us to hold or use your information, subject to any legal or contractual restrictions; ask for a copy of your information in a portable format, where reasonably feasible; and file a complaint with the Office of the Privacy Commissioner of Canada if you believe we've mishandled your information.

To protect your privacy, we may ask you to verify your identity before acting on a request — for example, confirming the email address or account associated with it.

10. Cookies

We use one strictly-necessary cookie to keep you signed in if you have an account. We do not currently use analytics or advertising cookies, so there's nothing else on this Site for a browser's "Do Not Track" setting to apply to. If that changes in the future, this policy will be updated to disclose it before those cookies are used.

11. Links to Other Sites

The Site may link to third-party sites, such as our social media pages. Those sites have their own privacy practices, which this Policy doesn't cover — we'd encourage you to read their privacy policy before sharing any information with them.

12. Changes to This Policy

We may update this Privacy Policy from time to time. The "Last updated" date above reflects the most recent revision. For a material change — one that meaningfully affects what we collect or how we use it — we'll take reasonable steps to bring it to your attention, not just quietly update the date.
